They will undertake various administrative tasks, ensuring the General Manager & the rest of the staff have adequate support to work efficiently.
The tasks of the office administrator will include managing phone calls, emails, GM schedule, track office supplies, bookkeeping, assist in project management duties for Sales.
The ideal candidate will be competent in prioritizing and working with little supervision.
They will be self-motivated, easy going, pleasant, dependable, driven, thinks outside the box, adaptable to deadlines, multi-tasker and trustworthy.
The office administrator ensures smooth running of our company's office operation and contributes in driving sustainable growth in a new start-up company.
Responsibilities Reporting to the General Manager, responsibilities will include:
Coordinate office operations and activities to secure efficiency and compliance to company policies Manage agendas/travel arrangements/appointments etc.
for the General Manager Manage office phone calls and correspondence (e-mail, letters, packages etc.
) Assist the General Manager and Sales to process the website inquiries Support budgeting and bookkeeping procedures Create and update records and databases with personnel, financial and other data Assist the GM and Sales to populate and keep up to date the CRM system and social media platforms (Instagram, Facebook, LinkedIn) Track stocks of office supplies and place orders when necessary Submit timely reports and prepare presentations/proposals as assigned by General Manager Assist Sales & Operations Department colleagues whenever necessary Assist the General Manager and Sales in customer credit control Liaison with Parent company (Lowe & Fletcher Group) and Sister companies (e.
g.
BLE, Coopers) and any suppliers when required Skills Proven experience as an office administrator, office assistant or relevant role Good experience of working with clients or customers Outstanding communication and interpersonal abilities Excellent organizational and leadership skills Dependable - more reliable than spontaneous People-oriented - enjoys interacting with people and working with groups Detail-oriented - focused on the details of work and capable of seeing the bigger picture Autonomous/Independent - enjoys working with little direction, when necessary Innovative - can easily adapt to working in unconventional ways or on tasks that require creativity.
Can think outside the box mentality High stress tolerance - thrives in a high-pressure situation or environment Familiarity with office management procedures and basic accounting principles Excellent knowledge of MS Office (Word, Excel, PowerPoint) and any office management software or CRM Qualifications in any construction, design, project management, specialties related products will be an advantage.
High school diploma minimum requirement; BS/BA in office administration or relevant design or construction field is preferred Work Remotely No Job Type:
